This privacy policy explains inter alia the reasons for the processing of survey data and the way we collect, handle and ensure protection of those data.
The survey is provided by the EUAA Research Programme by using LimeSurvey web platform. The survey targets individual subjects who are asylum-related migrants (asylum-seekers, asylum-applicants, persons with refugee or subsidiary protection status, people with international protection, people with a negative asylum decision that did not return to their country of origin) or other displaced people in Europe. In the context of this survey, the EUAA is the entity which processes the survey data and determines the purposes and means of the processing activity.
Go back to topThe purpose of this data collection activity is to support the EUAA to learn more about the asylum situation in Europe, migration experiences, journeys, expectations, and needs of asylum-related migrants in Europe. The insights from this survey will help the EUAA to better understand asylum-related migration and contribute to a fairer and more efficient international protection system in Europe, providing further assistance, more efficient support, higher quality and consistency within the field of asylum.
We collect data through the application of a questionnaire using LimeSurvey. Data collected and stored for further analysis is based solely and exclusively on the answers given by participants in the survey. The survey uses mostly closed-ended questions (multiple questions). All answers collected are fully anonymised and no connection with a person's ID, asylum-application or any other form of identification is possible. All data collected will be processed at group level (country-level or EU level). This means that your answers will be aggregated to the answers of other participants and only then analysed. The processing of data will be exclusively linked to the purposes of the survey, no further analysis will be performed.
Go back to topWe process survey data on the basis of Article 5(1) of the EUAAR, pursuant to which "[t]he Agency shall gather and analyse information on the situation of asylum in the Union and in third countries insofar as it might have an impact on the Union, including up-to-date information on root causes, migratory and refugee flows, the presence of unaccompanied minors, the overall reception capacity and resettlement needs of third countries, and possible arrivals of large numbers of third-country nationals which might subject the Member States' asylum and reception systems to disproportionate pressure, with a view to providing timely and reliable information to the Member States and to identifying possible risks to the Member States' asylum and reception systems"
Go back to topThe present survey does not collect personal data per se, as defined in Article 3(1), neither any special categories of personal data as defined in Article 10(1) of the EUDPR1.
During the survey, the participants are asked for socio-demographic information, such as age, gender, marital status, education, citizenship, asylum legal status. All questions allow the possibility to answer, "I don't know" or "I prefer not to say". Participants are further asked about their migration journey, experiences and expectations.
For the purpose of avoiding duplicated answers, the survey software uses cookies and anonymised IP address of the accessing machine Both cookies and anonymised IP address do not allow any identification of the person. Cookies are not saved in the data collection, they are only managed by the system to avoid duplicated answers. For more information on LimeSurvey cookie policy you can consult here (see LimeSurvey Privacy Policy, point 3.2.). The collection of survey data is limited to what is directly and strictly relevant and necessary for the purpose of the survey and can never be directly attributed to an individual participant, considering the anonymity of the survey.
Go back to topSurvey data will be retained for no longer than it is necessary for the purpose for which it was collected and processed. The data collected with this survey is considered as having business value, having a medium retention time (10 years).
Go back to topIn order to protect survey data, we have put in place a number of technical and organisational measures. The EUAA Research Programme and ICT Unit employ appropriate security procedures to protect the confidentiality and security of the survey responses.
With regards to technical measures, data is collected using the surveying tool LimeSurvey, installed on an EUAA server, located in the EU. With regards to organizational measures any data collected and processed is done strictly within the legal requirements and respecting all data protection requirements under legislation in the EU.
Go back to topThe following categories of recipients have access to data collected through this survey: 1) The EUAA staff responsible for carrying out the processing of the aggregated data at group level, 2) EU Member State National Authorities. No third parties have access to the data collected. The EUAA employs appropriate security procedures to protect the confidentiality and security of the survey responses.
